Ma’iingan Designs Workshop Policy
Community & Organization Bookings (Including Travel Workshops)
Thank you for your interest in booking a Ma’iingan Designs workshop. These workshops are hands-on, learning-focused, and rooted in respect for regalia-making teachings and materials. This policy applies to workshops booked by communities, schools, and organizations.
Booking and Confirmation
A workshop date is confirmed once the booking is accepted in writing and the required deposit is received (if applicable). Workshop pricing, what is included, and any travel costs will be outlined in the booking agreement or invoice.
Location and Set-Up
Workshops take place at the host’s venue or the venue arranged by the host. Ma’iingan Designs workshops are not held in personal/studio space.
The host is responsible for providing a suitable space, including:
tables and chairs for participants
washroom access
basic lighting and a comfortable work area
well-ventilated area
a clean-up plan and garbage/recycling access
Travel Workshops
Workshops are offered in Canada only (for now). Workshops outside my local area may include travel-related costs such as mileage, flights, accommodations, and/or per diem, depending on the location and length of stay. Travel costs will be quoted in advance and added to the invoice or agreement.
For travel bookings, the host may be asked to confirm:
the full venue address and workshop schedule
safe and reasonable access to the venue (parking/loading if needed)
final participant numbers by the agreed deadline
Participant Numbers and Supplies
To prepare materials and tools, the host must confirm final participant numbers by the deadline stated in the booking agreement. Supplies are prepared based on the confirmed numbers.
Deposits and Payments
A 50% non-refundable deposit of the workshop facilitation fee is required to reserve your date(s). Your booking is not confirmed until the deposit is received.
The remaining balance is due within 7 days before Day 1 of the workshop, unless otherwise stated on your invoice., If payment deadlines are missed, Ma’iingan Designs may pause preparation and/or reschedule the booking (subject to availability).
Cancellations and Rescheduling (Host-Initiated)
Because materials and scheduling are committed in advance, the following applies:
Host Initiated (Client)
If the host requests to reschedule 7 days or more before the workshop date, Ma’iingan Designs will make reasonable efforts to reschedule (subject to availability). The deposit remains non-refundable and is applied to the rescheduled date.
If the host cancels or requests to reschedule within 7 days of the workshop date, the deposit expires. Additional costs may apply in non-refundable expenses have already been incurred (e.g., kits/materials prepared, travel booked).
Cancellations or Changes by Ma’iingan Designs
If Ma’iingan Designs must cancel or reschedule due to illness, weather, emergency, or unforeseen circumstances, the host may choose:
rescheduling to a future date (subject to availability), or
a refund of amounts paid (excluding any non-refundable third-party costs already incurred, if applicable).
Force Majeure
Ma’iingan Designs understands that unexpected circumstances can arise that are outside anyone’s control. If an in-person workshop must be delayed, rescheduled, or cancelled due to events such as severe weather, road closures, emergencies, natural disasters, public health restrictions, power outages, or community-related circumstances (including a community passing/funeral, crisis, or closure), the following applies:
In a Force Majeure situation:
The workshop will be rescheduled to a mutually agreed date (subject to availability).
The deposit remains non-refundable and will be applied as a credit toward the rescheduled workshop, provided the new date is confirmed within 12 months of the original workshop date.
Any non-refundable costs already incurred (for example, pre-purchased materials/kits or travel) are the responsibility of the host and may be deducted from any refund, if a refund applies.
Ma’iingan Designs will always communicate clearly and work in good faith, while also protecting time, preparation, and costs already committed.
Safety and Respectful Learning Space
Workshops may involve tools, dyes, paints, and leatherwork materials. The host is responsible for ensuring participants understand expectations and are supported appropriately in the space. Participants are expected to follow safety guidance and instruction.
Ma’iingan Designs reserves the right to pause or stop instruction if unsafe or disruptive behaviour impacts the workshop environment.
Photos and Sharing
Photos/video may be taken for Ma’iingan Designs promotional use. If the host requires a no-photo environment, this must be communicated in advance.
